1. The USMS registration software will assign a registration number to each member. An individual’s registration number consists of the two-digit LMSC number, the last digit of the registration year, an additional character, a hyphen, and another five characters. (“Character” means alphanumeric.)

  2. Example of USMS membership number format: XXYA-BCDEF
    XX=LMSC number
    Y=Last digit of year (2022=2)
    A= a unique character that is a checksum of all characters to verify that the registration year
    BCDEF=alphanumeric characters; this sequence of five characters is the member’s permanent ID and will not change from year to year.

  3. The Registration Software CANNOT process the registration of a member attached to an unregistered club. If a member wishes to compete but the club has not yet registered, the registration must be submitted as “unattached.” The member can then transfer (paying any applicable fees) once the club has registered.

Member Email Address Change Process

At the beginning of 2020, the National Office took the first steps of what was a major change to its communications: beginning the transition to a new email platform. [NOTE: This doesn’t change the system that membership coordinators use to send LMSC emails.] The new email platform provides several benefits, which include allowing recipients to opt in and opt out of certain communications in a personalized preference center (including LMSC emails), allowing for automated communication campaigns, enhancing the functionality of the emails, and ensuring compliance with electronic communication security and marketing regulations.

In order to secure a member’s preference center, a unique email address, which is also the member's My USMS login, for each member is required. Beginning in April 2020 the USMS Admin tool used by membership coordinators to change a member’s email address will no longer be available. LMSC membership coordinators can help members update their email address by:

  1. Letting the member know they can update their email (and other contact information) through their My USMS account.
  2. Emailing the requested change to volunteer@usmastersswimming.org.

Name Changes

When members change their names for any reason, change the name in the member’s record and enter a note (containing the old and new names) in the Notes area of the online member record. (Members may also perform this function themselves online; those requests must be approved by the membership coordinator before the member's record is updated.)


Verification of a member’s age

  1. The Registration Software absolutely will not accept a member’s registration if the birthdate has not been provided.

  2. Members must be at least 18 years of age. The software will not accept a registration if the prospective member is not at least 18 years old on the date of registration.

  3. Birthdates must be accurate. Please make every effort to obtain the correct birthdate before submission to the Registration system. DO NOT “INVENT” BIRTHDATES!

  4. Sometimes a membership coordinator will receive an application where the member’s listed date of birth (DOB) is very different from a previous year’s registration (not a simple typographical error).  The membership coordinator needs to verify the member’s real date of birth, and it may require the membership coordinator to request proof such as a photocopy of a driver’s license, passport, or other documentation.

  5. If it appears that it could be a typographical error, previous year registration forms can be viewed to verify the DOB, and corrected accordingly, or the member can be contacted.

  6. If the member has competed in an event with the DOB that is in question, the member should be contacted and the DOB verified by the member providing legal identification documentation.


Membership Cards

After much consideration and discussion, the Membership Committee, in collaboration with the National Office, put forth a plan to sunset the printing and mailing of paper membership cards. Print membership cards would not be available beginning with the 2022 membership year.

Members can access an electronic version of their card through their My USMS account for use on their iPhone or Android devices, as well as a PDF they can download. If there are clubs that still require a paper card shown, let the National Office know so we can work with you and the club to let them know the alternatives.

In addition, we plan to continue to send welcome packets to all new 2022 members and member who selected the new USMS+ membership option, which includes a card.


Paper Registration Forms

With the unified membership fee in place, there is no longer a need for 52 unique paper registration forms. There are a couple hundred members that have registered via paper forms in recent years. The plan, which the Membership Committee and Board of Directors are in support of, is that going forward we have a single paper registration form and have it sent back to the National Office, which will handle the processing and email confirmation and distribute funds as we do with the other 99.5-plus percent of memberships. Hopefully, we can guide members and clubs to register online as much as possible.

In the case of an LMSC paying for officers’ memberships, it would be helpful to have individual members use their login credentials to register so they know how to access their My USMS account. A simple reimbursement process for those officers would be easy to set up.
